How do security companies bill clients for guard hours?

Most security companies bill clients per guard hour at an agreed rate, with higher rates for overtime and holidays. ForceVera does this from the time clock: you approve the hours, it applies the client's bill rates by guard type, splits overtime and holiday hours, adds tax and fixed charges, and creates a PDF invoice you email to the client.

Why it matters

Client billing & invoicing: what your security company gets

Bill only what was worked

Invoices are built from approved hours, so clients pay for verified time on site and there is less to dispute.

Rates worked out for you

Bill rates by guard type at company, client or site level, with weekly overtime and holiday rates applied automatically.

Invoices sent, payments tracked

PDF invoices go to the client's billing contacts, and you record full or partial payments as they arrive.

How it works

Client billing & invoicing in ForceVera: how it works

  1. Set bill rates

Enter rates for unarmed, armed and off-duty police guards at company, client or site level, plus the overtime threshold and holidays.

  2. Approve hours

Review clocked hours, adjust billable time with a reason and approve them.

  3. Create invoices

Generate invoices per client or per site for a weekly, biweekly, monthly or custom period, with tax, PO number and fixed charges.

  4. Send and record payment

Approve and email the PDF invoice, then record payments until the balance reaches zero.

FAQ

Client billing & invoicing: questions, answered

Is client billing included in my plan?

Client billing is included in the Enterprise plan and sold as an add-on for Basic and Pro. See the pricing page for current prices.

How are overtime and holiday hours billed?

Hours a guard works beyond the client's weekly threshold (40 by default, Sunday to Saturday) are billed at the overtime rate. Hours on your company holidays are billed at the holiday rate and are not counted again as overtime.

Can clients pay invoices online?

Not yet. You record payments received by check, ACH, card, cash or another method, including partial payments, and the invoice is marked paid when the balance reaches zero.

Can clients see their invoices online?

Yes, on Pro and Enterprise. Sent invoices, receipts and a breakdown of approved hours and charges appear in the client portal, where Accounting users can download them.

Does billing connect to payroll?

Both come from the same time clock records. Billing uses each client's bill rates, payroll uses each guard's pay rate, and timesheets export to CSV or Excel for your payroll system.
