Software for contract security companies that serve many clients

Staff every client site, prove guards were on post, keep each client informed and bill them from the hours actually worked, all from the same records.

What software do contract security companies use?

Contract security companies use guard management software to staff client sites, prove guards were on post, record patrols and incidents, and report and bill each client. ForceVera does this in one platform: scheduling by site, a geofenced time clock, QR patrol tours, incident and daily reports, a client portal and invoices built from approved hours.

The problems

What slows contract security companies down

Clients ask for proof of service

Every client wants to know the post was covered and patrolled, and answering by phone or email takes hours each week.

Clock-ins, patrol scans and reports roll into a daily client report, and on Pro and Enterprise clients check their own portal.

Hours retyped into invoices

Timesheets, client rates and overtime live in different spreadsheets, so invoices are slow and disputes are common.

Approved hours from the time clock become invoices with each client's bill rates, overtime and holiday rates (client billing).

Open posts found too late

A guard drops a shift and nobody notices until the client calls to say the post is empty.

The week grid shows open posts, guards reject shifts with a reason, and the dashboard shows today's coverage.
Capabilities

What you get

Everything runs from the same guards, sites, shifts and reports, in the web app for your office and the iOS and Android app for guards and supervisors.

  • Clients with several sites, each with its own geofence, checkpoints and site instructions
  • Week grid by site and by guard, published to the guard app
  • Geofenced clock-in with a 4-digit PIN
  • QR patrol tours with missed and late tour alerts
  • Incident and daily activity reports with photos
  • Daily client report in your branding, sent after review or automatically
  • Client portal with client users and site-by-site access (Pro and Enterprise)
  • Invoices from approved hours (included in Enterprise, add-on for Basic and Pro)

Which plan fits contract security companies?

Most contract security companies choose Pro, which adds dispatch, guard KPIs and the client portal to the core scheduling, time clock, patrol and reporting tools. Enterprise adds client billing and guided onboarding, and client billing is also sold as an add-on. See pricing and plan limits.

FAQ

ForceVera for contract security companies: questions, answered

Can one client have several sites?

Yes. Each client can have as many sites as you serve, and each site has its own geofence, checkpoints, tours, site instructions and schedule.

How do clients see that their sites were covered?

ForceVera emails a daily report built from clock-ins, patrol scans and guard reports. On Pro and Enterprise, clients can also log in to a portal to see guards on duty, patrol results and reports for their sites.

Can we bill clients at different rates?

Yes, with client billing. Set bill rates by guard type (unarmed, armed and off-duty police) at company, client or site level, with overtime and holiday rates. The most specific rate wins.

Can clients pay invoices online?

Not today. You email PDF invoices and record payments received by check, ACH, card or cash, including partial payments.

Does ForceVera connect to QuickBooks or Xero?

Not today. Timesheets export to CSV or Excel for payroll, and invoices are PDFs you can file in your accounting system.
